July Compliance Essentials for Employers
News June 24, 2025
As summer moves along, it’s a smart time for companies to pause, reassess, and get ahead of what’s coming next. From preparing for pay transparency requirements to staying on top of EAD reverification and IRS deadlines, this month’s roundup covers what you need to know now. Plus, we’re sharing a practical midyear compliance checklist and helpful training resources to support your HR goals through the rest of 2025.
✅Mid-Year HR Compliance Checklist
Use this quick midyear checklist to ensure your policies, trainings, and priorities are aligned for the rest of 2025. A little midyear maintenance now can help you avoid compliance headaches later.
- Review & Refresh Your Training Plan
Make sure all required and recommended trainings, like harassment prevention, safety, and supervisor development, are scheduled for the remainder of the year. Not sure where to start? Our Training Catalog can help you build a plan that fits your team’s needs.
- Re-Distribute Harassment & Discrimination Policy and Training
According to Massachusetts Commission Against Discrimination’s (MCAD) guidelines released in 2024, it is best practice to have employees acknowledge that they have received and read the policy upon hire, and on an annual basis, and to have that policy readily accessible to all employees whether it is placed in a shared drive or other electronic storage medium, or available in hard copy. MCAD also strongly recommends that employers regularly conduct education and training programs on anti-harassment for all employees.
- Conduct a Handbook Review
Check that your employee handbook reflects current laws, internal policy updates, and best practices. Focus on areas like leave, remote work, and pay transparency.
- Plan for Policy Updates
Identify any policy changes needed before year-end, especially if you’re responding to new regulations or organizational shifts. Get a jump on planning your 2026 handbook.
- Prepare for Pay Transparency Requirements
If pay transparency laws apply in your state (like Massachusetts), now is the time to get ready. Ensure your team understands how to build, evaluate, and communicate salary ranges effectively. Our Pay Transparency Bootcamp offers hands-on training and expert guidance to help HR and leadership stay compliant and confident.
- Check in on PTO, Leave, and Staffing Plans
Review employee time-off balances, coverage plans, and any scheduling gaps for Q3/Q4.
EAD Revocation Update for E-Verify Employers
E-Verify is no longer issuing case alerts for revoked Employment Authorization Documents (EADs). Instead, employers must regularly generate the Status Change Report to identify impacted employees and begin reverification using Form I-9, Supplement B. It’s essential to act promptly if an employee’s EAD has been revoked—even if it still appears valid. Learn more here.
File IRS Form 5500
IRS Form 5500 is due by July 31 for calendar-year employee benefit plans, make sure it’s filed on time to stay ERISA-compliant. Learn more here.
